Job Description:

As an Executive Assistant, you will provide top-level assistance, including scheduling appointments, exchanging information with callers, handling correspondence, arranging meetings, assisting the Finance Department with A/P duties, filing, managing annual vehicle tag renewals, and other duties to relieve executives of clerical work and minor administrative and business details, by performing the duties listed below.

Job Responsibilities:

  • Serve as the primary point of contact for internal and external guests on all matters pertaining to the Park President, including those of a highly confidential or critical nature. Prioritize and determine appropriate course of action, referral, or response, exercising judgement to reflect Park President’s style and organization policy.
  • Act as a liaison and provide support to the Busch Gardens & Adventure Island Senior Leadership Team.
  • Work with the Senior Leadership Team to coordinate the Park President’s outreach activities. Follow up on contacts made by the Park President to cultivate ongoing relationships.
  • Act as the “gatekeeper” providing a bridge for smooth communication between the Park President and staff, maintain credibility, trust, and support with the Senior Leadership Team.
  • Work closely with the Guest Communications team to resolve guest concerns and questions on behalf of the Park President.
  • Provide sophisticated calendar management for Park President. Prioritize inquiries and requests while troubleshooting conflicts. Make judgements and recommendations to ensure smooth day-to-day engagements.
  • Prepare documents for meetings including park wide town halls and community events.
  • Arrange and handle all logistics for SLT meetings and events: schedule meetings; draft agendas; develop, compile, and distribute presentation materials; and record meeting minutes on behalf of Park President as needed.
  • Work closely with the Park President to keep him well informed of upcoming commitments and responsibilities, following up appropriately. Anticipate Park President and SLT’s needs in advance of meetings, conferences, etc.
  • Complete a broad variety of administrative tasks including assisting with special projects; designing and producing reports, newsletters, internal communication, and presentations; collecting and preparing information for meetings with staff and outside parties; composing and preparing correspondence; maintaining contact lists; making travel arrangements; and completing expense and mileage reports.

Qualification & Experience:

  • Able to maintain confidentiality and a high level of discretion
  • Have excellent written and verbal communication skills including strong proofreading skills
  • High school diploma or equivalent
  • Previous administrative experience
  • Comfortable learning internal reporting systems
  • At least 18 years old
  • Proficient in Microsoft Office applications, specifically Outlook, Word, Excel, OneNote, Publisher, and PowerPoint
